Processing Refunds and Overpayments

Learn how to issue refunds, handle overpayments, and keep accurate records when customers pay too much or need money back.

Open the invoice

Go to the Invoices tab and find the invoice you need to refund. Tap on it to open the details.

Tap 'Refund payment'

If the customer paid too much, you'll see an overpayment amount displayed. Tap 'Refund payment' to start the refund process.

💡You can issue a refund even if the invoice shows as fully paid.

Choose the refund type

Select how you're refunding: Return to Card reverses the original payment, Customer Credit adds to their balance for future invoices, or Cash Refund for manual refunds.

Enter the refund amount

Enter the amount to refund. For partial refunds, enter just the portion you're returning.

Select a reason

Choose a refund reason: Customer Request, Service Issue, Duplicate Charge, Incorrect Amount, Job Not Completed, or Other.

💡Refund reasons appear in your Refund Analytics report to help you spot patterns.

Confirm the refund

Type 'REFUND' in the confirmation field, then tap 'Confirm Refund' to process. The invoice status will update and you'll see the refund in your records.
