Basic questions about Scheduling Hero

What is Scheduling Hero?

Scheduling Hero is a mobile app that helps service professionals manage their business. Schedule jobs, track customers, create invoices, and optimise routes—all from your phone, even without internet.

Who is Scheduling Hero for?

We built it for solo service professionals and small teams: window cleaners, landscapers, gardeners, cleaners, trades, mobile car valets, and anyone who visits customers at their location.

How is it different from other scheduling apps?

Two things: it works completely offline (your data is stored on your device), and it's genuinely free forever. Most apps require internet and push you to paid plans. We don't.

Is there a desktop or web version?

Not yet. We're focused on making the mobile experience perfect first. Most service professionals work from their phone anyway—it's always with you on the job.

Does it work offline?

Yes! This is our core feature. Your schedule, customers, invoices, and expenses all work perfectly without internet. Changes sync when you're back online (Premium only).

Questions about plans, payments, and subscriptions

Is it really free?

Yes. The free tier includes unlimited customers, jobs, schedules, and invoices. Your data stays on your device forever. No trial period, no credit card required.

What do I get with Premium?

Premium (A$21.99/month) adds cloud backup & sync across devices, route optimisation, receipt photo storage, and advanced reporting.

Can I cancel anytime?

Absolutely. Cancel whenever you like through your App Store or Google Play subscription settings. You keep Premium access until the end of your billing period.

Do you offer refunds?

Refunds are handled by Apple and Google through their respective app stores. Contact them directly if you need a refund for a recent subscription payment.

What payment methods do you accept?

Payment is handled through the App Store (iOS) or Google Play (Android). They accept credit cards, debit cards, and store credit/gift cards.

Is there a discount for annual billing?

Yes! Pay annually and get 4 months free. That's A$169.99/year instead of A$21.99/month. Select annual billing when you upgrade in the app.

Getting Started

Help with setup and first steps

How do I get started?

Download the app, create a free account, and start adding customers. You can be scheduling jobs within 60 seconds of opening the app.

Can I import my existing customers?

Yes. You can import customers from a CSV file. Go to Settings > Import Data and follow the instructions. We'll map your columns automatically.

How long does setup take?

Most users are fully set up within 10-15 minutes. Add a few customers, create some jobs, and you're ready. There's no complex configuration needed.

Is there a tutorial?

Yes! The app includes a quick start guide that walks you through the basics. We also have detailed help guides on our website for every feature.

I'm not tech-savvy. Can I still use it?

Absolutely. We designed it to be simple. If you can use a smartphone, you can use Scheduling Hero. No technical knowledge required.

Data & Privacy

Questions about data storage and security

Where is my data stored?

Free tier: All data stays on your device only. Premium tier: Data is stored locally AND backed up to encrypted cloud storage (you choose when to sync).

Is my data safe?

Yes. Free tier data never leaves your phone. Premium cloud data is encrypted in transit and at rest using industry-standard AES-256 encryption.

Can I export my data?

Yes. Go to Settings > Export Data. You can export customers, jobs, invoices, and expenses as CSV files. Your data is always yours.

What happens if I lose my phone?

Free tier: Data is only on your device, so it would be lost. This is why we recommend Premium for cloud backup. Premium users can restore all data to a new device.

Do you sell my data?

No. Never. We don't sell, rent, or share your data with anyone. We make money from subscriptions, not from selling your information.

How do you protect my data?

We use bank-level encryption for data in transit, secure cloud storage with row-level security, and you can delete your account and all data at any time through Settings > Close Account. Your data is never sold or shared with third parties.

Tax & Accounting

Questions about GST and tax reporting

Does Scheduling Hero track GST?

Yes. You can enable GST tracking in Settings. The app will calculate GST on invoices and track input GST on expenses for easy reporting.

Can I generate reports for ATO?

Yes. Go to Reports > GST Summary to see your GST collected and paid. You can export this as a PDF or CSV for your accountant or ATO submission.

How do I track business expenses?

Add expenses manually or snap a photo of receipts. Categorised by type (petrol, equipment, supplies, etc.) and the app calculates totals automatically.

Can my accountant access my data?

You can export your data (invoices, expenses, reports) as CSV or PDF files to share with your accountant. We don't have a direct accountant login feature yet.

Is receipt storage included?

Basic expense tracking is free. Receipt photo storage in the cloud is a Premium feature—photos are backed up securely so you never lose them.

Technical questions and troubleshooting

What devices are supported?

iOS 15+ (iPhone and iPad) and Android 10+. The app works best on phones but also supports tablets.

How much storage does the app use?

The app itself is about 50MB. Data storage depends on usage. Most users with 100+ customers and years of history use less than 200MB total.

Why isn't my data syncing?

Cloud sync is a Premium feature. If you're Premium and sync isn't working, check your internet connection and try pulling down to refresh. Contact support if issues persist.

The app is running slowly. What should I do?

Try closing and reopening the app. If that doesn't help, check you have at least 500MB of free storage on your device. Contact support if problems continue.

Can I use it on multiple devices?

Free tier: One device only (data stays on that device). Premium tier: Use on multiple devices with cloud sync keeping everything in sync.

Features

Questions about specific features

How does route optimisation work?

Premium feature. Tap 'Optimise Route' on your daily schedule, and we'll reorder your jobs to minimise driving time. Typically saves 30-45 minutes per day.

Can I send invoices by email?

Yes. Create an invoice, tap 'Send', and choose email. The invoice is attached as a professional PDF. You can also share via WhatsApp or any other app.

How do recurring jobs work?

Set a job to repeat (weekly, fortnightly, monthly, etc.) and it automatically appears in your schedule. Edit one instance or the whole series.

Can I track expenses?

Yes. Add expenses manually or snap a photo of receipts (Premium stores photos in the cloud). Categorise expenses and see totals in reports.

How does free SMS messaging work?

Unlike other apps that charge per message, Scheduling Hero sends SMS through your phone's native messaging—using your existing mobile plan. 'On my way', appointment reminders, all free.

Can multiple people use one account?

Currently, each account is for one user. Team features (multiple users sharing a schedule) are on our roadmap for future updates.
